Event Venue Checklist: What Every Caterer Must Know Before the Big Day

There’s quite a bit more to catering than just great food; great execution is just as important. And no matter how well-prepped you are, an event venue that isn’t fit for purpose can throw everything off. From dodgy electrics to surprise restrictions, failing to assess a venue in advance is one of the most common (and costly) mistakes caterers make.
So, before you start hauling ovens into barns or chillers into marquees, it’s worth getting familiar with the space you’ll be working in. Here’s what to know, what to check, and why showing up blind is never a good option.
Why should you visit the event venue?
You wouldn’t go into a big presentation without testing your slides or making sure your laptop connects… at least we hope you wouldn’t! Catering is no different. A venue might say they have everything you need, but what’s written in a brochure isn’t a guarantee that it’s accurate.
Site visits give you the chance to see things for yourself. You can assess the layout, understand the flow of service, and identify any weak spots that could cause problems on the day. They’re your opportunity to avoid last-minute chaos and make decisions with confidence.
What to check when visiting an event venue
Now that we’ve (hopefully) convinced you that a site visit is very important, here’s what you need to make sure you check during your site walkthrough:
Electrical supply
This one is top of the list because it’s extremely important. Check what type of power supply is available and whether it can support the equipment you’re bringing. Make sure that you ask about the kilowatt capacity, not just how many plugs are on the wall. If you’re running multiple ovens, fridges, or hot cupboards, you need to be sure the system won’t blow under pressure.
Kitchen equipment
Venues may say they have kitchen facilities, but in reality, that could mean anything from a full commercial setup to a microwave and a sink. Go and inspect it yourself. What’s already there? What works? What’s clean and safe to use? Ask if everything is PAT tested and ready for high-volume service. Even better, bring your own checklist so nothing gets overlooked.
Access points
This might seem like an obvious one but it’s easy to overlook in the chaos of everything else! Make sure that you check how you’ll get in and out. Is there vehicle access to the kitchen entrance? Will your team be lugging heavy kit upstairs or through narrow corridors? Bad access can waste time and sap energy before you’ve even started prepping.
Venue restrictions
Every venue comes with its own set of rules and many of them aren’t obvious until you ask. Some locations have noise restrictions due to nearby homes. Others might require all doors closed by 11 PM, which can make things tricky on a hot night or when guests want a breeze. These small details can impact everything from guest comfort to your ability to move freely between prep and service areas.
Parking and unloading
Make sure there’s enough space for vans to unload, and somewhere for your team to park once they’re done. If parking is limited or access times are restricted, build in extra time for setup or look at offsite solutions in advance.
Point of contact
It’s very important that you know who to speak to if something goes wrong. That’s not always the event planner, especially if they’re busy with guests. Ask who holds the keys, who can help with electrical issues, and who’s physically on-site during setup and service. Having that name and number in your pocket can make all the difference in a pinch.

Bring this list of questions with you, and make sure that you get clear answers.
- Can I safely cook for [X] number of guests here?
- What’s the access like for vans and large equipment?
- What is the electrical capacity (in kilowatts)? Is there three-phase power?
- What kitchen equipment is already here, and what condition is it in?
- Has the existing equipment been PAT tested?
- Are there noise or time restrictions? Can doors stay open during service?
- What are the parking/unloading options?
- Who is the main contact on the day if there’s a problem?
